# Common Bank Statement Loan Conditions, and How to Clear Them Early

*This is general information for education only. It isn't lending, underwriting, credit, legal or tax advice. Program rules vary by lender and change over time; check your lender's current guide. You and the lender make every lending decision.*

Most conditions on a bank-statement file aren't surprises. They come from the same short list. Checking for them before you submit saves a round trip with the borrower and the underwriter.

## 1. Missing months or pages
**Why it comes back:** the look-back period needs every statement, complete.

**Clear it early:** list each required month by account, match every statement period to it, and count pages. Request specific gaps from the borrower.

## 2. Statements that are too old
**Why:** many programs want the latest statement within a set number of days of the note date.

**Clear it early:** check the date on the most recent statement against the expected closing date, and plan for a fresh one if the file may run long.

## 3. Large deposits
**Why:** the program defines a large deposit and wants it sourced or explained.

**Clear it early:** calculate the threshold using the program's definition, list every deposit above it, and request sourcing in one go.

## 4. NSFs and overdrafts
**Why:** the program limits occurrences in a set period and usually wants an explanation.

**Clear it early:** count occurrences the way the program does, compare with its limit, and get the letter of explanation before submission.

## 5. Ownership percentage
**Why:** many programs multiply business-statement income by the borrower's ownership percentage and want proof of it.

**Clear it early:** get the document the program accepts (CPA or tax preparer letter, operating agreement or similar) at intake.

In StatementReady, ownership % is applied to business-statement runs. For personal-statement runs it's off by default, and you can turn it on in your settings if your program applies it.

## 6. Expense factor support
**Why:** many programs require third-party support for a factor lower than their default.

**Clear it early:** if you're using a lower factor, request the CPA or tax preparer expense letter with the wording the program asks for.

## 7. Transfers and non-income deposits
**Why:** counting transfers, refunds or loan proceeds inflates income, and the underwriter backs them out.

**Clear it early:** tag and exclude them yourself, with a note for each.

## 8. Statements that don't tie out
**Why:** if a statement's numbers don't reconcile, the income built on it is in doubt.

**Clear it early:** check opening balance + credits − debits = closing balance for every statement. Chase missing pages before you finalize.

## One list for the borrower
Put every open item (each deposit, event, missing month and document) into a single request with date, amount and account. One clear list gets faster answers than five separate emails.

## Using StatementReady for this step
StatementReady shows missing months, checks each statement to the cent, flags deposits over 50% of the qualifying income you enter on purchase files (refinance files skip that flag), counts NSF and overdraft items, and lets you download the list of deposits the borrower needs to explain. You can send the borrower a no-login upload link that expires within 7 days (you choose 1–7) and can be revoked anytime.

StatementReady assists your review, and you check every result. It doesn't make lending, credit or underwriting decisions, and it doesn't replace your judgment or your lender's guidelines.

NFCU checked on real files; other US banks and credit unions are accepted, checked to the cent, and marked Unverified if a statement doesn't reconcile or can't be checked.

## FAQ
**Which condition is most common?**

It varies by lender and file. Missing statements, large deposits and NSF explanations come up often enough to check on every file.

**Can I clear conditions before the file is submitted?**

You can't clear a condition that hasn't been issued, but you can submit a file that already answers the usual questions.

**Do I need a letter of explanation for every flag?**

Follow the program. Some items only need documentation; others need a signed explanation from the borrower.
